Internal AI for Business: Building Knowledge Bases for HR, Sales, Marketing and Finance
A production architecture for departmental knowledge domains, SSO, authorized RAG, controlled workflows and a 90-day internal AI rollout.

Organizations rarely lack documents. The problem is that knowledge is distributed across SharePoint, Google Drive, email, CRM, ERP, file servers, PDFs and individual employees. Staff must remember where information lives, ask the right person or read several files, which creates inconsistent answers, outdated versions and knowledge loss when people leave.
An internal AI assistant connected to a knowledge base can make approved enterprise knowledge accessible through natural language. Correct implementation is not a single unrestricted chatbot containing every document. The system must establish who is asking, which sources they may access, whether AI may only retrieve or also act, and who owns knowledge accuracy.
Implementation model
Internal AI is more than question answering
Separate retrieval, drafting, recommendations and execution permissions.
Four maturity levels
Level 1 — Retrieval: Find and synthesize approved content with citations.
Level 2 — Drafting: Prepare emails, job descriptions, campaigns, proposals or record summaries without sending or updating systems.
